Before You Enroll
Important information to review before submitting your application to Magic Carpet Academy.
We want every family to feel confident that Magic Carpet Academy is the right fit for their child. The information below highlights important expectations, required forms, and key policies families should understand before beginning the enrollment process.
Safety and Important Policies
Children who are sick may not attend MCA. A child may be excluded if the illness prevents comfortable participation, may spread to others, or requires more care than staff can safely provide while supervising the group.
Sick Child Expectations
Magic Carpet Academy, building and parking lot, is a 100% tobacco-free, smoke-free, and vape-free facility.
Children must not arrive with clothing, blankets, bags, or other belongings that smell of smoke or marijuana. Adults entering MCA premises must also be free from these odors.
Smoke-Free Facility
Families should park only in designated parking spaces and drive slowly through the parking lot during drop-off and pick-up.
Please use extra caution during these times because of heavy foot traffic and children walking between vehicles and the building.
Parking & Arrival Safety
Parents are encouraged to communicate questions or concerns with MCA. However, teachers must remain focused on the children while actively supervising their classrooms.
Conversations requiring more than a brief exchange should be directed to administration or scheduled for a conference.
Parent & Teacher Communication
Requests that fall outside a teacher’s regular classroom responsibilities must be directed to administration.
Additional or special requests may interfere with a teacher’s ability to supervise children and complete assigned duties. Administration will determine whether a request can be accommodated.
Requests Outside Teacher Responsibilities

Health, Medication & Nutrition
An updated immunization record and completed medical report must be submitted within 30 days of enrollment.
Failure to provide these records may result in suspension of attendance until the records are received. If the child remains enrolled, full tuition continues to be due while the space is reserved.
Medical & Immunization Records
Over-the-counter medication is not administered, except for approved topical products such as diaper crea, sunscreen, insect repellent
Prescription medication may be administered during the day only when the prescription requires three doses per day, so that one dose must be given during childcare hours.
All medication must be brought directly to the Director or designated front office staff.
Medication must not be placed in the child’s cubby or bookbag and be given directly to the classroom teacher
Front office staff must first review, document, and process the medication before it can be released for administration.
Medication Policy
If your child requires medication during the school day, parents must complete the required authorization paperwork.
All families are required to complete the:
-
CACFP Child Enrollment Form
-
Child Income Eligibility Application
These forms are required regardless of family income or financial status.
Families are welcome to bring outside food to the center; however, the food may not be eaten in the classroom. If a child arrives with outside food, the parent or guardian must feed the child in a designated area.
This helps prevent other children from gathering around, asking for the food, becoming distracted, or becoming upset when they cannot have the same food.
Meals & CACFP Forms
Magic Carpet Academy participates in the Child and Adult Care Food Program (CACFP) and provides meals and snacks as part of the daily program.
Birthday celebrations are held during snack time from 2:00–2:30 p.m., after MCA snacks are served.
Families may bring cupcakes, low-sugar juice, SunChips, pizza, birthday goodies, table cover, party plates, cups, and utensils, and/or birthday banner
Not allowed items include peanut butter or peanut-containing items, balloons, candles, and homemade food. All birthday food items must be store-bought.

Enrollment Basics
Full-Time Enrollment Only
Magic Carpet Academy offers full-time enrollment only. Families may choose for their child to attend fewer days or shorter hours; however, tuition remains the same because your child’s full-time space is reserved in the program.
Application & Holding a Spot
A completed application and the $50 non-refundable registration fee are required before an application can be processed. An available spot may be held for up to two weeks. After the two-week holding period, full tuition is required to continue holding the space.
Parent Apps Required
Families are required to create profiles in both Lillio and SmartCare. Lillio is used for communication, updates, and photos.
SmartCare is used for billing, payments, and secure sign-in/sign-out.

Tuition & Payment Expectations
Tuition Paid in Advance
-
Weekly tuition is due on Friday for the following week.
-
Monthly tuition is due on the 1st day of the month of service.
Late fees apply when tuition is not paid on time, and families may not carry a balance of more than one week of tuition.
Tuition Paid in Advance
Tuition is due year-round while your child is enrolled.
No credits or refunds are given for Sick days, Vacation days, Holidays, Staff training closures, Weather-related closures, and Other absences or emergency closures
Important
Enrollment reserves your child’s space, even if your child is absent.

Daily Routines & Family Expectations
Hours & Assigned Schedule
MCA is open Monday through Friday from 6:30 a.m. to 6:00 p.m.
Each child is assigned a daily schedule of up to 10 hours. Families are expected to drop off and pick up within their child’s assigned schedule.
Breakfast & Drop-Off Cut-Off Times
Breakfast ends at 8:25 a.m.
If your child arrives after 8:25 a.m. and still needs breakfast, a parent or guardian must stay and supervise the child while eating.
The latest regular drop-off time is 9:30 a.m., unless your child is arriving from a doctor’s appointment.
Secure Pick-Up Procedure
-
Do not share your access code.
-
Sign your child out at the front desk. Obtain a pick-up pass when office staff are available. Give the pick-up pass to the classroom teacher.
-
If no front office staff are available, classroom staff will verify identity before releasing the child.
-
A photo ID may be required if the individual does not have a profile picture on file.
Visiting Your Child
Parents are welcome to visit and observe their child.
While teachers are actively supervising children, conversations should be kept brief. If a longer discussion is needed regarding your child’s progress, behavior, or other concerns, please schedule a conference with the teacher.
Labeled Supplies
Please clearly label your child’s personal belongings with their name.
Depending on your child’s age, supplies include a clean blanket, water cup, two extra sets of clothes, diapers or pull-ups and wipes.
Water cups must contain water only and must be taken home every day for washing.
Please Do Not Send Food Items With Your Child
Children should not enter the classroom eating or carrying outside food.
If your child arrives with outside food, a parent or guardian must take the child to the designated eating area and remain with the child while they eat.
Uniform Requirement (PreK3 and PreK4 only)
Uniforms are required for PreK 3 and PreK 4 students Monday through Thursday during the school year. The uniform consists of a light blue polo shirt and nay blue bottoms. Uniforms are not required during the summer.

Withdrawal & Final Account Balance
Parents may withdraw their child by providing written notice to the Director. After withdrawal or dismissal, MCA will issue a final invoice for any remaining balance. Final balances must be paid according to MCA’s financial policies.
If a balance is not paid by the deadline, no approved payment plan is arranged, or the parent fails to follow an approved payment plan, the account will be referred to a third-party collection agency and/or pursued through other lawful collection methods.
Family Handbook Updates
Magic Carpet Academy reserves the right to revise, amend, update, or change the Family Handbook and its policies and procedures as needed. Families will be notified of changes and provided with updated information.
Except when an immediate change is required for health, safety, licensing, legal, or regulatory reasons, families will receive at least 14 days’ notice before a revised policy takes effect.
